Commercial Warranty Terms and Conditions

These Warranty Terms and Conditions apply to all products sold by Halo Reformer Ltd (a private limited company registered in England under number 16165089, whose registered address is 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ). By purchasing a product from us, you agree to be bound by these Terms.

1. Conditions of Commercial Warranty

The Halo Reformer Ltd (Commercial) Warranty covers defects of specific components, as specified in Section 2 below, during the Warranty Period when the Physical Goods are purchased for commercial use in studios, gyms, rehabilitation centres, and other professional facilities (the “Commercial Customer”).

All warranties under these Terms and Conditions apply from the date the equipment is delivered to the Commercial Customer and supported with evidence of an invoice and proof of delivery (the “Confirmed Delivery”). The Warranty includes parts only and does not include labour costs associated with replacing such parts.

All parts must have been purchased from Halo Reformer Ltd, failing which, all equipment warranty including frame warranty will be void.

The Warranty is given only to its initial Commercial Customer and terminates on its ownership transfer.

In all cases, Halo Reformer Ltd has the sole responsibility for determining the cause and nature of a fault. Halo Reformer Ltd's determination is final. We will provide replacement parts for any defective components determined to be covered under this Warranty.

It is the Commercial Customer's responsibility to arrange for the parts to be fitted at their expense. This Warranty shall be void if the failure or defect was attributed to any extrinsic cause, accidental damage, improper use, modification, adaptation, neglect, wear and tear exceeding normal commercial usage, or improper installation.

2. Equipment and Commercial Warranty Duration

During the Warranty Period, Halo Reformer Ltd will replace, at no charge, products or parts of a product that prove defective because of improper material or workmanship, under standard commercial use and maintenance. This Warranty applies only to defects reported in writing within the applicable Warranty Period and as long as the product remains with the original Commercial Customer.

  • Frame = 5 years from date of confirmed delivery
  • Springs = 1 year from date of confirmed delivery
    • 1 year warranty is given on all springs, expecting that a decrease of 5% of the spring power per 1,500 hours usage is acceptable according to international standards. We advise that springs should be replaced after a maximum of 2 years. In the event of any signs of damage or wear, springs should be replaced immediately regardless of age or usage.
  • Mechanical parts (Wheels, Foot bar, Poles, Spring clips) = 1 year from date of confirmed delivery
  • Upholstery (Carriage, Platform, Sitting box, Jumpboard, Footbar cover, Loop straps, Foot strap, Ropes = 120 days from date of confirmed delivery
    • The upholstery fabric will be replaced if it fails to give normal wear for 120 days from the date of Confirmed Delivery.
    • Proof of damage is required at the time that the written request is submitted.
    • This is subject to the exclusions as set out in Section 4.

Spare parts are available under warranty when required, and provided that the above conditions are met. Otherwise, spare parts, or their equivalent replacements, are available for purchase at commercial rates. Parts replaced under the terms of this Warranty will be warranted for the remainder of the original warranty period only.

3. Commercial Warranty Claims and Process

A Halo Reformer Ltd representative will assess any reported fault and may suggest potential solutions for the customer to attempt.

For commercial orders, priority support is provided with response times within 24 hours for warranty claims.

Halo Reformer Ltd will provide replacement parts for faulty components once a diagnosis has been completed (where possible) and photographic or video evidence of the fault has been submitted.

Commercial Claim Requirements:

  • Usage documentation may be requested for high-wear components
  • Company registration number and facility details must be provided

To request a replacement part, the original Commercial Customer must contact Halo Reformer Ltd at support@haloreformer.com with "COMMERCIAL WARRANTY" in the subject line. Once the request has been reviewed and approved, a Return Materials Authorisation (RMA) Number will be issued.

The faulty part must be returned to Halo Reformer Ltd with shipping prepaid and accompanied by a packing list or tag bearing the RMA number and the Commercial Customer name. Once the faulty part is received, replacement will be promptly processed.

4. Commercial Warranty Exclusions

This cover does not extend to damage caused by:

  • Improper care, improper installation, improper operation, negligence, lack of maintenance, or wear and tear beyond normal commercial usage
  • Imperfections that are within design specifications or that do not materially alter functionality
  • Unauthorised modifications or attempts to repair the equipment
  • Use in outdoor commercial settings without appropriate weather protection
  • Abuse, chemical damage, or use of unsuitable cleaning agents
  • Damage from excessive humidity, temperature fluctuations, or inadequate ventilation in commercial facilities
  • The fading of colours and materials caused by natural effects of UV light over time
  • Upholstery staining, discolouration, or damage from client products including but not limited to self-tanning products, makeup, lotions, oils, or any personal care products

This Warranty applies only to brand-new equipment purchased for commercial use; second-hand purchases and home-use equipment converted to commercial use are not covered. Halo Reformer Ltd has the right to void any warranty if the goods are used beyond their intended commercial capacity or for purposes other than professional Pilates instruction and rehabilitation.

Commercial Warranty claims are limited to the value at which The Halo Reformer was purchased (excluding delivery costs and optional extras).

5. Commercial Support and Maintenance

Commercial Customers receive:

  • Priority technical support
  • Bulk replacement part pricing (if needed)

6. Disclaimer

Halo Reformer Ltd will not be liable for loss of business, loss of use of the equipment, or any incidental expenses incurred because of the replacement of the equipment in commercial settings. Any replacement parts supplied during the Warranty Period will assume only the remaining portion of the warranty on the original product. Strictly manufacturing faults and defects only.

Commercial Customers acknowledge that intensive use may result in shorter component lifespan than home-use applications, particularly for soft goods and upholstery.

7. Changes to Terms and Conditions

We reserve the right to amend these Commercial Warranty Terms and Conditions at any time without prior notice; however, we will make reasonable efforts to notify Commercial Customers of any significant changes as soon as possible, with a minimum of 30 days notice for active commercial orders.

8. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of England and Wales.

Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
